Job Summary

Under the direction of the Senior Closing Processors and/or the Director of Settlement Services, the Processing Assistant is responsible for providing full support to the closing and title systems at Signature. This individual will demonstrate a high level of prioritization and organizational abilities as well as exceptional communication skills.

Essential Duties and Responsibilities

  • Be a professional point of contact via telephone, e-mail, and in person for all parties associated with each transaction including but not limited to: Lenders, real estate professionals, Buyers, Sellers, Builders/Contractors and Attorneys. Proper grammatical skills and communication etiquette is highly regarded.
  • Request, review, and update: title commitments, real estate property taxes, homeowner and condominium fees and insurance certificates, payoffs, final water/sewer bills and commission statements. Ensure plot plans are ordered and received in a timely manner. 
  • Provide lenders with necessary information to prepare closing figures such as: preliminary closing statements, title commitments, taxes, insurance, and payoffs in a timely manner.
  • Schedule closings and prepare closing documents and miscellaneous lender and title documents as needed.
  • Prepare files for closing including printing and formatting lender and title documents, confirming proper verbiage on POA forms, Trusts, and Acknowledgement clauses, copy documents for customers and balance/prepare disbursement sheets.
  • Assist with clearing title/closing issues and assist with post-closing matters as needed.
  • Provide vacation coverage as needed for closing processors and other office personnel including Office Administrator and Title Services Associate.
  • Must be willing to work extra hours if/when needed.

Minimum Qualifications 

Education and/or Experience

High school diploma required. Secondary school, technical or college degree preferred.

Related experience in either mortgage lending, real estate sales or title/closing/settlement/processing experience preferred.

Proficient in MS Office Word, Excel and Outlook as well as general office equipment. Experience with E-Closing preferred.

Language Skills

Effective verbal and written communication skills are a must. Position requires extensive communication with lenders, realtors, buyers and sellers.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
